Every Smoother Onboarding deployment is mounted as its own environment: your brand, your domain, your content — powered by Smoother Experiences underneath. Participants experience your organization, not our platform. And one deployment can carry many processes: short, long or accelerated tracks, and different onboarding programs for different areas, roles or sites — running side by side, each with its own calendar, all keeping every stage and every verified exit. Delivery in Spanish, English or French, genuinely localized — not merely translated — with other languages on request.

What a participant lives

Before day one — Compliance, access and equipment complete ahead of arrival, so the first week is actual work. Short preboarding capsules frame the organization — not its policies. Within 48 hours of acceptance the manager makes personal contact — a conversation, not a notification. The participant writes The Organization and Me: what they bring, the value they add, the value they expect, their plan.

The first month — Capsule units of one to five minutes: video and audio capsules carrying the visual appearance and voice of your organization's leaders — head, managers, founders — or a presenter appearance and voice chosen specifically for your onboarding, with text and infographic renditions of the same unit — consultable anytime, on any device, built to be reviewed repeatedly, never consumed once. Each closes with a quick retrieval check and, where it matters, an interactive simulation to navigate — because a signature says a person read the policy; a simulation shows whether they can apply it under pressure. Every capsule links to the official source: an entry point, never a replacement. A first real contribution ships early. The buddy meets weekly — scheduled and tracked.

The arc of the first year — Leadership capsules put strategy and history in the actual leaders' voices — as regenerable character capsules, re-issued when leadership changes instead of going stale. The 100 Days plan is co-authored; the Fresh Eyes Review is requested, delivered, and answered; pulses at days 7, 30 and 90 listen for what reports miss; the close-out at month twelve hands the person to ongoing development — part of it now.

What your deployment includes

  • A custom-trained AI assistant — trained on your documents, policies, decisions and history, answering "why is it done this way?" at 11pm with zero social cost, always linking to the actual source. Generic AI underperforms even a mediocre human process; an assistant trained on your documented reality is one no competitor can buy off the shelf.
  • The manager prompt engine — the right nudge at the right moment: before day one, on day one, in the first week, at days 30, 60 and 90, and when events warrant it (a first meaningful assignment ships). Each prompt arrives with everything the manager needs in one glance — the participant's context, what to cover, why it matters. Completion instrumented — because prompting, not training, is the binding constraint on manager action.
  • Buddy management — suggested matches your team approves, scheduled cadence, tracked meetings, and buddy notes flowing back as early-warning signal, never as surveillance.
  • Interactive simulations — text, voice or visual scenarios the participant navigates, with immediate, task-focused feedback; expert-reviewed for high-stakes content.
  • Certifications and badges — level-named certifications (unit, experience, program) each certifying a defined Learning Object through a rubric — with per-unit certification for compliance programs, audit-ready; thematic badges that accumulate across programs into a visible competency record.
  • Measurement built in — the five instruments (time-to-productivity, retention by cohort and by manager, pulses, manager-action completion, Fresh Eyes yield), reported as cohort views your team actually uses — and honest: completion is process health, never impact.

Manager-owned, never manager-burdened

The most common worry about manager-centered onboarding is workload — and it is exactly the problem this platform is built to remove. Managers are busy on the day it matters; that was never a character flaw, it is the design constraint. So the platform does the remembering, the preparing, the scheduling and the tracking; the manager does only the human part: a conversation at acceptance, a welcome, a weekly minute of attention, a check-in that arrives pre-briefed. Relying on managers alone creates bottlenecks — so the load is deliberately distributed across the buddy, the custom-trained AI assistant, and the system itself. Google measurably accelerated new-hire effectiveness with nothing more than a well-timed checklist; our entire manager experience is engineered on that insight. Involvement without workload — smoother, by design.

Data, privacy and governance

The participant sees their own data — instrumentation is done with people, not to them. Learner-data handling respects GDPR and works-council constraints where they apply; no emotion inference, ever; AI features operate under recognized governance frameworks with human oversight. Buddy notes are agreed signals with a defined audience — never covert reporting.
